We are seeking an enthusiastic, organised individual to provide support to the UK Events Manager of New Zealand Winegrowers - the body responsible for the generic marketing of New Zealand Wine – one of the major success stories in the UK trade
The ideal candidate would have excellent organisational and communication skills, the ability to multi-task whilst ensuring a quality outcome. Attention to detail is critical, as is competency in Microsoft Office and Internet tools. The candidate should be willing to play a committed role in a busy and supportive team.
Responsible for assisting the UK Events Manager in the execution of the UK Event Programme and for providing full administrative support to the UK Office.
OBJECTIVES
1. Liaise with NZ co-ordinator to produce event catalogues
2. Agent Contact for events
o Sending reminders and final update sheets
o Ensuring they have proofed event catalogues
o Production of name badges
3. Liaising with venues
o Travel arrangements and logistics
o Venue equipment and staffing
o Sensible Wine Services orders and instructions
o Contracts and invoicing
4. New Zealand and UK Freight requirements
o Checking freight lists for each event
o Following up on any missing wines
5. Database research and management with instruction from UK Events Manager
o Geographical trade research
o Research and update existing contacts research
o Oversee part-time temp and/or administrator to help with research
o Extract data for invite mail shots
6. Train and manage temp staff and part time administrator
7. Manage Promotional Material stock levels
8. Manage Office Finance and Administration
o Invoicing and chasing invoices for payment
o Incoming invoice/payment enquiries
o Chasing accounting problems for accountant
9. Provide general administration duties as and when required for team
